Role:
The Partnership Coordinator has two primary responsibilities. The first is to greet visitors as they enter the Visitor Center and answer their questions as well as provide recommendations on things to see and do in Wichita. The coordinator answers incoming phone calls for the visitor center and the Visit Wichita offices. The second primary responsibility is to provide administrative support to the Partnership Department. The coordinator reports directly to the Partnership Director.
Responsibilities:
- Answer telephone calls and direct to the appropriate personnel when necessary
- Assist walk-in traffic with visitor information as needed, as well as directing business visitors to proper offices
- Responsible for ensuring both entrance doors are unlocked at opening time and locked at closing time (i.e. 8:00 AM and 5:00 PM)
- Retrieve daily mail deliveries and distributes to the designated personnel
- Assist with daily office procedures, i.e. ensuring outgoing mail has postage, special mailings, bulk mailings, office supplies and other projects as necessary
- Responsible for the neatness of the visitor center. This includes keeping brochure stands stocked, changing welcoming sign boards, etc.
- Maintain accurate records of all visitor inquiries, fulfilling visitor request with proper information, including envelope stuffing and mailing via computerized data base
- Maintain passports, T-shirts, and information spreadsheet for Wicked Brew Tour and Wichita Attraction Tour
- Maintain inventory control of visitor guides and coordinate distribution
- Manage board room and small conference room including scheduling, upkeep, setup, and teardown
- Provide audio and visual support to both conference room to all departments as needed
- Maintain upkeep kitchen and workroom including coffee, dishwasher, and sending list of supplies to order
- Perform other duties as assigned by the President/CEO or supervisor
Partnership Administrative Responsibilities:
- Maintain partner information in Destination Management System (CRM) including updates/corrections, cancellations
- Responsible for new partner on boarding including, but not limited to, setting up partner in CRM, activating extranet for contacts, sending welcome emails, receiving and uploading photos, collections, and mailing welcome letters and decals
- Manage execution of organization partner events including but not limited to, virtual set up of event and rsvp in CRM, reminder emails, welcome table, name tags, follow-up emails, gifts, etc.
- Assist in on-boarding training of new partners
- Assist with special projects as needed
- Answer partner questions and provide outstanding customer service
- Assist other departments as needed
- Monitor partner website listings to ensure accurate information
- Work with website manager to update links on website
Education and Experience:
- Bachelor’s degree preferred
- 2 years’ prior experience working in customer service, administrative, or similar role
- Success being a team player in a work environment
